Description of Position

President

Term: 2 years

  • Be the guide for our league and exhibit the characteristics that we want our kids to learn
  • Submit our Charter and other information to Little League International
  • Must know Little League regulations
  • Establish a good relationship with the Director of Public Works and the City of Waupun
  • Be available to answer questions via phone and email as needed
  • Attend City and Park and Rec meetings as needed

Vice President

Term: 2 years

  • Presides in absence of president
  • Works with other officers and committee members
  • Is ex-officio member of all committees
  • Carries out such duties and assignments as may be delegated by the president.
  • A vice president may manage, coach or umpire, provided they do not serve on the protest committee.

Treasurer

Term: 2 years

  • Signs checks co-signed by another officer
  • Dispenses league funds as approved by the board of directors
  • Reports on the status of league funds
  • Keeps local league books and financial records
  • Assumes the responsibility for all local league finances

Secretary

Term: 2 years

  • Records the minutes of meetings
  • Maintains a record of league’s activities
  • Emails the minutes to the Communications Director

Registration Director

Term: 2 years

  • Organizes and attends registration
  • Keeps BOC with information provided at registration
  • Works with Volunteer Coordinator to keep list of unworked volunteer hours and attempts to obtain payment at registration

Concessions Director

Term: 2 years

  • Weekly Ordering: Holiday Wholesale, Guths, 7UP, Piggly Wiggly for tournaments
  • Pick up orders as needed
  • Paper product stocking
  • Checking Inventory
  • Weekly Banking/Deposits
  • Putting Away Order Weekly/Organizing
  • Cleaning Deep Fryer every two weeks
  • Ensure all machines are working properly
  • Change out slushie machine boxes
  • Defrost Stand up Freezer a few times a season

Chief Umpire

Term: 2 years

  • Provides umpire training
  • Schedules Umpires
  • Member of Protest Committee

Player Agent

Term: 2 years

  • ln charge of overseeing player development
  • Holding tryouts and evaluations if necessary
  • Player selection (draft)
  • Determining the number of teams needed at each level
  • Designating coaches for each team
  • Making sure that Little League Rules and Regulations are being followed
  • That all players are being afforded opportunities for fair playing time throughout the season
  • Coordinating the end of season league tournament
  • Selection of District Tournament teams at the end of the year

Safety Agent

Term: 2 years

  • Coordinates all safety activities
  • Ensures safety in player training
  • Ensures safe playing conditions
  • Coordinates reporting and prevention of injuries
  • Prepares the ASAP plan for submission to Little League International

Fundraising Director

Term: 2 years

  • Solicits and secures local sponsorships to support league operations
  • Collects and reviews sponsorship and fundraising opportunities
  • Maintains records of monies secured through sponsorship and fundraising initiatives

Equipment Manager

Term: 2 years

  • Orders uniforms and all equipment needed for the season
  • All orders must have the approval of the board
  • No member of the League organization may order equipment without prior approval of the Board of Directors
  • Submit detailed receipts to the Treasurer
  • Distribute equipment to coaches in a timely manner
  • Replace equipment as needed throughout the season
  • Recall and inventory all equipment at the end of the season.
  • Prepare and present a report to the Board of Directors on the condition of all equipment at the end of the season, including a list of equipment that needs to be replaced

Fields Manager

Term: 2 years

  • Waupun Little League Fields Manager
  • Oversee complex upkeep in conjunction with the City of Waupun
  • Notify Public Works director of all tournaments so that fields are set up
  • Tournament Setup
    • Coordinate volunteer help for tournament setups
    • Clean up around complex
    • Make sure bathrooms are stocked with toilet paper and soap
    • Field Grooming (done 1 per month), preferably every other tournament
    • Fill Propane Tanks for grill
    • Fill gas can for Gator
    • Rake warning track
    • Check bases and netting – make sure everything is secure
    • Clean dugouts
    • Make sure sponsor signs are still secure on fences.
    • Upkeep of batting cages with may require sweeping of gravel from the hitting surface
    • Check garbage’s
    • Bring grill to concession area (clean if needed)

Development Coordinator

Term: 2 years

  • Coordinate teamwork through all levels of Waupun baseball
  • Conduct player and coach camp

Tournament Director

Term: 2 years

  • Create the schedule for each tournament
  • Send the schedule to all the teams in the tournament
  • Field any questions prior to the tournament
  • Secure umps for tournaments (and any last minutes changes to the umps schedule)
  • Figure out ump pay and paying them
  • Print and post all  tournament information at the fields prior to the first game
  • Order balls for the tournaments
  • Order awards for tournaments
  • Pick up awards and get them to the complex
  • Assist with any changes due to weather on tournament weekends
  • Order awards for all league activities(all-star, league stands, league tournament, and medals for the younger kids)

Communications Director

Term: 2 years

  • Participates in communication between coaches, parents and the board
  • Maintains the website
  • Schedules practice for all teams
  • Keeps record of work hours
  • Reports changes in schedule on the website, social media, to concessions workers and coaches

Fall Ball Director

  • Plan Fall Ball season starting in the Spring
  • Meet with board to decide on details such as amount teams are to pay, umpire pay, etc
  • Work with traveling team coaches to secure teams
  • Plan the schedule for the season
  • Oversee each game day
  • Direct assistants as needed

Concessions Assistant

  • Assists Concessions Director with all aspects of her duties

Apparel Assistant

  • Assists with ordering
  • Distribution of jerseys, spirit wear and tournament shirts is a large part of this position. 

Photo Assistant

  • Guides teams during the photo taking process. 

Juniors Coordinator

  • Meet with out-of-town teams to decide what the season will look like
  • Set the schedule and communicate it to all teams and WLL’s Communications Director
  • Plan end of season tournament

All Star Assistant

  • Assist Player Agent with planning of our All Star event
